Job Description

We are looking for a mature, polished, quick-thinking, and pragmatic Executive Assistant who wishes to be an indispensable right-hand support to two senior staff members. Working from elegant offices in Mayfair/Marylebone, you will be an integral part of an intelligent and highly collaborative company that conducts a lot of international work. No two days are the same and the pace is fast. Our team is small, and our work often requires long periods of concentration, so the role would suit someone who enjoys independent work and prefers to work in a quieter environment.

Key Responsibilities

  • Conduct complex and extensive diary management, across multiple time zones
  • Manage global travel with detailed itineraries
  • Provide full support across both business and private needs
  • Process expenses and invoices
  • Manage inboxes
  • Create and edit reports and presentations across PowerPoint, Word, and Excel
  • Organise meetings and conference calls, including the preparation of agendas
  • Act as a gatekeeper, including answering company phone and fielding enquiries
  • Build and maintain relationships with senior internal/external stakeholders
  • Conduct research and prepare briefings and reports
  • Assist with the recruitment of new staff, including onboarding
  • Assist with staff appraisals, performance management, and discipline
  • Implement and promote company policies (health and safety, data protection, diversity and inclusion), keep them up to date, and ensure they are being observed
  • Maintain supplies of office stationery and equipment
  • Maintain the condition of the office and arrange for any necessary repairs
  • Readiness to be contacted out of office hours due to international travel

  • Highly proficient in MS Office
  • Intermediate or fluent in a second language
  • Preferred: High-level critical reasoning and analytical skills
  • Preferred: Technical acumen, with ability to troubleshoot issues

Qualifications & Experience

  • 3+ years’ experience working in an internationally focused and fast-paced corporate environment
  • Previous team-focused PA experience
  • Bachelor’s degree or higher, preferably in a business-related field
